- [privacy@trail-blazer.live]
- Netlify:
- Telegram:
- Google Fonts:

Trail Blazer is a live GPS tracking system for races and sports events. This policy explains what information we collect, why, who we share it with, how long we keep it, and how you can see, correct or delete it.
In short: participants' GPS location is shown publicly on the race map only during the event and as the organizers set it up. Phone numbers, emails and device numbers are never shown to anyone outside the organizing team. We don't sell data and we don't use advertising or tracking cookies.
1Who we are
The website trail-blazer.live and the Trail Blazer service are operated by [Company or business name], [company / business number], [full address] ("we", "us").
- Privacy questions
- [privacy@trail-blazer.live]
- Phone
- [phone number]
2Who is responsible for which data
- Event participants' data (registration, contact details, location): the event organizers are the data controller. We process this data on their behalf and on their instructions, to run registration, tracking and the map. Each organizer also sets their own race rules, health declaration and event terms.
- Data of registered users (organizers, judges, admin staff) and of website visitors: we are the data controller.
Questions about a specific event can go to its organizers or to us, and we will pass them on.
3What we collect
When you register for an event
- Full name, email and phone number of the contact person.
- Team name and team members' names, and where needed their phone, gender and age (to place the team in a category).
- Course and category, tracking device type, IMEI number or a location-sharing page link (for example Garmin MapShare).
- Optional details you choose to add: photo, logo, country flag, a short line, sponsor, links and answers to questions.
- Your acceptance of the organizers' race rules and health declaration (only the acceptance, no medical data).
If you register a team, you confirm that your team members know about it and agree that their details are provided and shown as described here.
Location
- GPS points (latitude, longitude, elevation and time) sent by the tracking device or app, from which we calculate distance, speed, times and rankings.
- Location is collected only from the tracking start time the organizers set for the event until it ends. To stop location being collected, turn off the tracker or its sharing.
Registered users
- Name, email, password (stored as a one-way hash, we can't read it), role and event permissions.
- A basic activity log (for example invites, permission changes, password resets) for security.
The Telegram bot and the news screen on the map
- Photos and videos sent to the bot from groups the organizers connected, including the caption, the sender's name, when the photo was taken, and where, if the file contains a location.
- The Telegram group's ID and name.
Visiting the site
- You don't need an account to watch the map. Our hosting and map providers receive standard technical data (IP address, browser type, time) to serve the pages, and keep it in logs for a short time.
- Payments: the site doesn't take payments at the moment. When payments are added, they will go through a secure payment provider and we will not store card details.
4What is shown publicly
The race map and participant pages are open to anyone with the link. During and after the event they show:
- Team or participant name, team members' names, bib number, course and category.
- Current location, the track so far, speed, times, checkpoint passes and ranking.
- Anything you chose to add: photo, logo, flag, short line and sponsor.
- Field photos the organizers approved for display.
Phone numbers, emails, IMEI numbers, age and other registration details are not shown publicly. Only the organizers and the admin staff they allow can see them. Organizers can hide a participant from the map at any time.
5Why we use the data, and on what basis
| Purpose | Legal basis (GDPR) |
| Running registration, placing you in a course and category, contacting you before and during the event | Performance of the contract with participants and organizers |
| Live tracking, the map, times, rankings and results | Performance of the contract; participants' confirmation at registration |
| Showing an optional photo, logo, short line and other profile details | Consent, which you can withdraw |
| Accounts, permissions, password resets and system security | Legitimate interest: a safe, working service |
| Improving the service and fixing problems | Legitimate interest |
| Meeting legal requirements and requests from authorities | Legal obligation |
We don't sell personal data, don't use it for advertising and don't build marketing profiles.
6Who we share data with
- The event organizers and the admin staff they allow (judges, field crew).
- Service providers working for us, and only with what they need:
- Supabase: database and servers (hosted in the EU, Frankfurt).
- Netlify: website hosting.
- Resend: sending emails (invites, password resets).
- Telegram: the photo bot.
- Google Fonts: the site's fonts.
- Map and weather providers: OpenStreetMap, OpenTopoMap, CyclOSM, Waymarked Trails, Esri, Mapbox, Open-Meteo, flagcdn. Your browser contacts them directly to load the map background, so they receive viewers' IP addresses.
- Tracking device makers (for example Garmin): when you use their device, data passes through them under their own terms.
- Authorities, when the law requires it.
- If the business is sold or merged, the data moves to the new owner and stays protected under this policy.
7International transfers
Some service providers are outside Israel and the EU, mainly in the United States. When data is transferred there, we rely on recognized safeguards such as EU adequacy decisions (which also cover Israel) and Standard Contractual Clauses (SCCs).
8How long we keep data
- Registration details, phone numbers and emails: up to [12 months] after the event ends, then deleted, unless the organizers ask otherwise.
- Full location points: up to [12 months] after the event, so the race can be replayed and results checked. After that only the results (name, times, ranking) may be kept as a results archive.
- Photos from the Telegram bot: until the organizers delete them, and at most [12 months] after the event.
- User accounts: while the account is active, and up to [30 days] after a deletion request.
- Hosting providers' technical logs: under their own policies, usually a few weeks.
9Your rights
Under the Israeli Privacy Protection Law, and for people in the EU or UK also under the GDPR, you can:
- See the data we hold about you and get a copy.
- Ask us to correct wrong or outdated data.
- Ask us to delete data, or to restrict how it is used.
- Get your data in a common format and take it elsewhere (portability).
- Object to uses based on legitimate interest.
- Withdraw consent at any time (for example remove a photo or line from your profile).
- Complain to the Israeli Privacy Protection Authority, or to the data protection authority in your EU country.
To use a right, write to [privacy@trail-blazer.live]. We reply within 30 days. If the request is about a specific event, we coordinate it with the organizers. During a live event, deleting location data may remove the participant from the ranking.
10Children
The service is not meant for children on their own. Participants under [18] register only with the consent of a parent or guardian, and the organizers are responsible for checking this. If we learn that a minor's data was collected without such consent, we delete it.
11Cookies and browser storage
We don't use advertising cookies, third-party analytics or tracking pixels. The site keeps only what it needs to work in your browser (local storage):
- Your session after you log in with a password.
- The language you picked.
- Display preferences on the map and in the admin pages (for example map layers and the last event).
Because this is strictly necessary storage only, no cookie consent is needed. You can clear it in your browser settings; you will then need to log in and pick a language again. If we ever add analytics or marketing tools, we will ask for consent first.
12Security
The site works over encrypted connections only (HTTPS). Access to participant details is limited to authorized users by role and event, passwords are stored hashed, and the database is protected by access rules. No security is perfect; if a security incident affects personal data, we will tell the organizers, the affected users and the authorities as the law requires.
13Tracking is not a rescue system
The location on the map can be delayed, inaccurate or missing (battery, signal, device). Don't rely on it for safety or to call for help. In an emergency, contact the emergency services and the organizers.
14Changes to this policy
If we change this policy we will update the date at the top of the page. We will tell registered users about any significant change by email or with a notice in the system.
Privacy questions, requests and complaints: [privacy@trail-blazer.live], WhatsApp +46 72 204 11 49, or by post to [full address].
